Business and Systems Co-ordinator
Overall Purpose of Role
To support the effective coordination of quality, systems and technological improvement across Stable & Wild, ensuring data is accurate, accessible and used to support high-quality delivery.
This role has a key responsibility for identifying, implementing and optimising systems and technology, including CRM and AI tools, to streamline processes, reduce administrative burden and support the organisation to operate efficiently and professionally.
The role also has a key element of ensuring our compliance records and training are accurate and up to date. The business is supported at all levels as required.
The role will support the development of a consistent, organisation-wide approach to data, systems and reporting, helping to set the standard for how Stable & Wild uses technology to enhance quality, impact and growth.

1. Core Responsibilities
A. Systems Development & CRM Implementation
· Lead the identification and implementation of a suitable CRM system for the organisation.
· Research options, compare functionality and make recommendations.
· Support the setup, organisation and ongoing use of the CRM system.
· Ensure systems are user-friendly, consistent and support operational needs.
· Help embed consistent use of systems across the team.
B. AI & Technology Integration
· Identify opportunities to use AI and digital tools to reduce administrative workload.
· Test and support the implementation of new tools across the organisation.
· Support staff to use technology effectively and confidently.
· Help establish clear and safe ways of using AI in the business.
· Remain aware of risks, particularly around safeguarding and data protection.
C. Data Management & Organisation
· Support the collection, organisation and maintenance of data relating to learners, delivery and outcomes.
· Ensure data is accurate, up to date and stored appropriately.
· Maintain clear and accessible data systems.
· Support staff in using systems correctly and consistently.
D. Reporting & Information Support
· Assist in preparing reports for internal and external use.
· Present data in clear formats (tables, charts, summaries).
· Ensure information is accurate and ready for use by others.
· Support the tailoring of information for different audiences.
E. Process Improvement & Efficiency
· Identify opportunities to streamline administrative processes.
· Reduce duplication and improve ways of working across the organisation.
· Support the development of simple, effective systems that save time and improve consistency.
· Highlight inefficiencies and suggest practical improvements.
F. Compliance & Data Handling
· Ensure data is handled in line with GDPR and company policies.
· Maintain secure and well-organised records.
· Support compliance with safeguarding, education and data requirements.
· Highlight risks or gaps in systems and processes.
G. General Office & Administrative Support
· Provide general administrative support across the team as required.
· Assist with organisation of documents, systems and processes.
· Support preparation for meetings, audits and reviews.
Support the centre with administration as and when required.
Take minutes, set reminders and generally ensure efficient running of meeting communication and infrastructure.
