Key Duties & Responsibilities

To work as part of the central finance team in supporting the trust to attain its aims and objectives, with a particular emphasis on: 

  • Providing financial administration within the trust including; administration of the financial and budgeting systems and undertaking regular processing in the general ledger, sales ledger, purchase ledger and payments system(s) including BACS, petty cash and credit cards
  • To meet the objectives and priorities of the Director of Finance in relation to the administration of the trust and its academies
  • To assist administration with procurement, collation of tender processes and reports 

 Main responsibilities: 

  • Administration of the day-to-day operations of the financial management systems which are currently Access Education (accounts receivable, accounts payable general ledger)
  • Maintaining and inputting data and preparing journals so that information is up-to-date, accurate, and compliant with Horizons Education Trust and its academies' policies
  • Administration of the central payments system, (BACS payments, cheques, credit card payments, and petty cash) for the trust, interfacing with online banking and Access Education 
  • Complete payments using petty cash for approved activities, working towards a cashless system for the trust 
  • Providing a high level of service to internal and external service users, liaising with budget holders, parents, and third-party providers, in relation to sales invoicing, purchase ordering, and payments; ensuring that queries are dealt with promptly and that debts are chased
  • Support the Director of Finance with the administration of payroll including input of salaries, and overtime staff expenses claims for the trust and its academies. Liaising with payroll provider (EPM) where appropriate
  • Provide staff with advice on the trust's financial delegations and procedures to support compliance. To review orders and payments and payments to ensure that the Financial Scheme of Delegations are adhered to and breeches are escalated to the Director of Finance before processing is actioned
  • Ensure all work complies with the Academies Handbook and best-practice GDPR protocols regarding information sharing 
  • To act as a central point for financial queries for the trust in relation to academies and commercial companies, working to support procurement using best practice

  • Any other duties relevant to the post to support finance and administrative services within the trust and its academies
