Administration Officer
To provide a
comprehensive administrative and organised office support including an
efficient and welcoming reception service and to work with the Headteacher to
meet the administrative and clerical needs of the school.
Key Responsibilities - Administration:
Work as part of the Admin Team to:
- Have or are willing to complete a First Aid at work course
- Are reliable, flexible and adaptable
- Work hard and have strong interpersonal and communication skills
- Are dedicated to providing excellent customer service
- Have excellent knowledge of the school’s
office procedures to carry out all administrative duties in a timely and efficient manner in order to
maintain the effective running of the school office
- Process visitors in line with the Trust’s Safeguarding procedures
- Handle difficult situations with sensitivity and calm, ensuring
you are always aware of the
safeguarding of our pupils, data protection and the need for confidentiality
- Compile factual letters/documents and school newsletter as directed by the Headteacher
- Have a good understanding and the ability
to provide the Headteacher with information regarding debts. Chase
debts as required.
- Type correspondence and
documentation using G-suite, some of which may be highly confidential.
- Book courses as required.
Update and maintain
the CPD spreadsheet, advise staff and update online
diary
- Undertake clerical
duties of reprographics, including photocopying and filing.
- Assist with duplicating, collating and distributing information to parents,
staff and governors.
- Able to use own initiative and prioritise tasks.
- Any other duties as can be reasonably expected
within the boundaries of the school
office
- Together with your line manager,
be responsible for identifying and agreeing your personal
development/training needs
- Oversee organisation of trips, collecting permission forms, sending
letters, booking transport, order lunches etc
- Receive incoming mail and email, send external mail, email and
texts, receive telephone calls and take messages, promoting the school’s ethos.
- Arrange appointments, cancelling and re-arranging if necessary.
- Maintain computerised Schools
Management Information System and pupil records
so as to enable instant
retrieval of information as needed.
- Undertake the distribution of school uniform
and other miscellaneous items as required.
- Cover other office functions in times of staff absence as directed by the Headteacher/School Business Manager
Key Responsibilities - Reception:
- Able to use own initiative and prioritise tasks
- Receive and process visitors
to the school, in line with the Trust’s safeguarding procedures
- Undertake the school’s reception duties, being the first point
of contact, ensuring
that all visitors
are issued with badges, that security is maintained and that enquiries
by phone or in person are addressed appropriately and promptly.
- To ensure that the reception and office area is welcoming and kept tidy at all times.
- Ensure that contact with all
staff, pupils, parents and visitors to the school, electronically, by telephone
and in person, are dealt with in a professional and helpful way in line with
the ethos of the school. Maintaining
a professional image at all times.
- Ensure that all visitors are issued with badges and that
security and safeguarding procedures are maintained.
- Assist in processing children who arrive
late and leave
during the day and pass this information to the appropriate staff
- Register children that have not been collected at the end of the school and contact parents
as appropriate. Monitor and report any persistently late children to the
attendance officer.
- To attend staff training/
meetings as appropriate.
- Any other duties within
the scope of this function
as directed by the Headteacher
Other Responsibilities:
To undertake such duties of a similar
nature as may be reasonably directed by the Headteacher from time to time. The duties and responsibilities
of the post may vary from time to time according to the changing needs of the
school.
The postholder shall ensure the duties of the post are
undertaken with due regard to the Trust’s Health & Safety Policy and to their personal responsibilities under the provision of the Health
and Safety at Work Act 1974 and all other relevant
subordinate legislation.
The postholder shall
carry out these
duties with due regard to the Trust
policies, procedures and priorities.
