Salary: £30,000 - £35,000 per annum (Dependent on Experience)

organized and dynamic Personal Assistant to support our Executive
Headteacher/Director of the Trust.
Role Overview:
The Personal Assistant (PA) to the Executive Headteacher/Director of the
Trust ensures the smooth operation of the executive office. The successful
candidate will provide comprehensive administrative and secretarial support,
enabling the Executive Headteacher/Director to focus on strategic leadership
and overall management of the Trust.
Key
Responsibilities:
Administrative
Support:
- Manage
the Executive Headteacher/Director's diary, scheduling appointments and
meetings.
- Coordinate
and prepare agendas, minutes, and follow-up actions for meetings.
- Handle
correspondence, including emails, phone calls, and letters, ensuring
timely responses and appropriate action.
- Maintain
and organize confidential files and records.
- Provide
advanced secretarial services, including dictation, minute-taking, typing
notes, proofreading, and filing.
Communication:
- Act
as the first point of contact for the Executive Headteacher/Director,
handling inquiries with professionalism and discretion.
- Liaise
with internal and external stakeholders, including staff, parents,
governors, and external agencies.
- Receive
and welcome visitors professionally, providing refreshments as required.
Office Management:
- Oversee
the day-to-day operations of the executive office, ensuring an efficient
and well-organized environment.
- Manage
office supplies and equipment, coordinating maintenance and repairs as
needed.
- Manage
petty cash, ensuring accurate records and reporting.
Event Coordination:
- Plan
and organize events, conferences, and workshops, including logistics,
catering, and materials.
- Assist
with the preparation and dissemination of communication materials and
presentations.
- Provide
administrative support for Parents’ Evenings, Open Days, and other school
events.
Project Support:
- Provide
support for special projects and initiatives, conducting research and
preparing reports as required.
- Assist
with the development and implementation of Trust-wide policies and
procedures.
- Assist
with recruitment processes, including advertising vacancies, coordinating
interviews, and liaising with candidates.
- Support
in producing school documents such as Staff Handbooks, Student Planners,
and other necessary documentation.
Additional Duties:
- Perform
additional duties as requested by the Executive Headteacher/Director,
demonstrating flexibility and a willingness to adapt to the needs of the
Trust.
- Support
training school by managing lesson observations and updating records.
- Provide
administrative support related to evaluations and reviews.
Person
Specification:
- A
degree is essential- Law degree is preferable
- Proven
experience as a Personal Assistant or Executive Assistant, preferably in
an educational setting.
- Excellent
organizational and time-management skills, with the ability to prioritize
tasks and meet deadlines.
- Strong
written and verbal communication skills, with attention to detail and
excellent proofreading abilities.
- Proficiency
in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other
relevant software.
- Ability
to handle sensitive and confidential information with discretion.
- Strong
interpersonal skills, with the ability to build effective relationships
with a diverse range of stakeholders.
- A
proactive and flexible approach to work, with the ability to adapt to
changing priorities and demands.
