Contract Type: Full-Time, Term-Time Only (Plus 2 Weeks)
Hours: 7:30am - 4:30pm (Including 1 Hour Lunch Break)
Salary: £30,000 - £35,000 per annum (Dependent on Experience)
Start Date: As soon as possible

We are seeking a highly organized and dynamic Personal Assistant to support our Executive Headteacher/Director of the Trust.


Role Overview:


The Personal Assistant (PA) to the Executive Headteacher/Director of the Trust ensures the smooth operation of the executive office. The successful candidate will provide comprehensive administrative and secretarial support, enabling the Executive Headteacher/Director to focus on strategic leadership and overall management of the Trust.


Key Responsibilities:


Administrative Support:


  • Manage the Executive Headteacher/Director's diary, scheduling appointments and meetings.
  • Coordinate and prepare agendas, minutes, and follow-up actions for meetings.
  • Handle correspondence, including emails, phone calls, and letters, ensuring timely responses and appropriate action.
  • Maintain and organize confidential files and records.
  • Provide advanced secretarial services, including dictation, minute-taking, typing notes, proofreading, and filing.


Communication:


  • Act as the first point of contact for the Executive Headteacher/Director, handling inquiries with professionalism and discretion.
  • Liaise with internal and external stakeholders, including staff, parents, governors, and external agencies.
  • Receive and welcome visitors professionally, providing refreshments as required.


Office Management:


  • Oversee the day-to-day operations of the executive office, ensuring an efficient and well-organized environment.
  • Manage office supplies and equipment, coordinating maintenance and repairs as needed.
  • Manage petty cash, ensuring accurate records and reporting.


Event Coordination:


  • Plan and organize events, conferences, and workshops, including logistics, catering, and materials.
  • Assist with the preparation and dissemination of communication materials and presentations.
  • Provide administrative support for Parents’ Evenings, Open Days, and other school events.


Project Support:


  • Provide support for special projects and initiatives, conducting research and preparing reports as required.
  • Assist with the development and implementation of Trust-wide policies and procedures.
  • Assist with recruitment processes, including advertising vacancies, coordinating interviews, and liaising with candidates.
  • Support in producing school documents such as Staff Handbooks, Student Planners, and other necessary documentation.


Additional Duties:


  • Perform additional duties as requested by the Executive Headteacher/Director, demonstrating flexibility and a willingness to adapt to the needs of the Trust.
  • Support training school by managing lesson observations and updating records.
  • Provide administrative support related to evaluations and reviews.


Person Specification:


  • A degree is essential- Law degree is preferable 
  • Proven experience as a Personal Assistant or Executive Assistant, preferably in an educational setting.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with attention to detail and excellent proofreading abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong interpersonal skills, with the ability to build effective relationships with a diverse range of stakeholders.
  • A proactive and flexible approach to work, with the ability to adapt to changing priorities and demands.
  • Commitment to long-term employment and contributing to the success of the Trust.
