We are looking for a focussed, organised admin assistant to coordinate all the financial admin for our school office. The role is 5 days  a week Mon-Fri between the hours of  09.00-14.30 (exact hours to be confirmed)


 Key duties;

Input of information to the schools Finance system (suppliers, debtors) in accordance with financial procedures.

Assist in ensuring effective procurement practice and ensuring best value principles are met.

Obtain quotes for goods and services where necessary.

Processing of Purchase Orders from requisitions, accurately and in accordance with agreed authorisation and timescales.

Ensure Purchase Orders are checked for accuracy and forwarded to suppliers

Processing of invoices, checking to Purchase Orders and goods received notes, ensuring appropriate authorisation and ready for payment

Investigating and resolving supplier invoices under query, arranging returns and ensuring that refunds or credit notes are received.

Raising of Sales Invoices from appropriate documentation, printing and checking for accuracy before distributing to debtors

Collating all receipts and invoices with PO’s before sending to Trust Finance team

Adding new suppliers to system

Ensuring best value approach is taken for all orders

Escalating any budget concerns to Principal / Business Hub Partner ahead of budget monitoring meetings

Monitor & maintain resources for the school and school resources room, ensuring all books and classroom resources are restocked as necessary

Coordinate all school Lettings, ensuring invoices are created and sent regularly and payment is received

Coordinate all after school clubs with Clubs Manager, creating schedule for parents, inputting clubs on to school's MIS system, creating registers for club leaders, waiting lists and reconciling payments

Chasing any outstanding payments

Managing and recording all Pupil Premium Finances

Be 1st point of contact to Trust Finance team on any school finance queries


 

The successful candidate will have;

Good GSCEs including English and Maths at Grade C or above (or equivalent).

Methodical work approach, ability to follow and adhere to all financial procedures

Experience of working in a busy environment with competing deadlines.

Strong team working skills and ability to work under pressure.

The ability to self-motivate and have a ‘can do’ attitude.

Resilience and optimism to manage day-to-day challenges in a busy environment.

Ability to use IT systems including databases and Microsoft Office products.

 Ability to pay attention to detail at all times

High levels of honesty and integrity, and the ability to follow requirements of confidentiality and data protection.
