About this Role

 THE ROLE

We are looking to appoint 2 Administrative Assistants to work in our school office providing support to our school.

This roles will be between  15-37 hours a week  but will cover hours between Mon-Fri 08.30-16.30. 

The ideal candidate will have excellent interpersonal skills and a friendly approach as a key part of the role is dealing with children and parents. They will be fully proficient in clerical and administrative work, and have extensive skills in MS Word and Excel. Experience of working in a school environment, in a administrative position is preferable.

Excellent organisational and ICT skills and knowledge . 


The school office really is the hub of this fantastic school and is responsible for keeping all the wheels moving in the right direction. The role of an admin assistant involves but is not limited to;

  •  Front desk, welcoming parents, visitors, contractors, following safeguarding guidelines
  • 1st point of contact for emails and telephone calls to the school, replying and redirecting as necessary
  • Pupil attendance, daily registers and monthly monitoring of absence and lateness
  • School lunches- daily figures to kitchen, creating allergy cards for MSAs, dinner money debt
  • Medical and 1st Aid, maintaining stock levels for 1st Aid, administering medication where needed, collating care plans, analysing any accident trends
  • School trips- finance, communications to parents, Risk assessments, booking of venues and coaches etc
  • Volunteers- ensuring all comply with KCSiE, DBS checks, references, timetable
  • Admissions- tours for in Year admissions, all new starter paperwork, Nursery & Reception intake, Secondary transitions & leavers,
  • School website- updating information to ensure it is always accurate and showcases the best of the school, updating statutory information
  • Communication- acreating and proof reading documents and drafting emails, ll letters to parents, newsletters,
  • Data- keeping pupil’s information accurate on our MIS, uploading key test statistics and data to official channels, completing school census
  • Secreterial support and diary management of Principal and Assistant Principals, including taking minutes in meetings


The successful candidate will;

  • Have experience of working within a school environment
  • Be able to maintain strict confidentiality and deal with pupils/ parents in a sensitive way
  • Be able to communicate effectively and confidently to pupils, staff, parents and visitors
  • Have excellent written skills with a strong knowledge of  of spelling and grammar
  • Be a team player who is happy to be flexible within their day to day work to help colleagues
  • Have a good eye for detail and be able to analyse data and spot trends and patterns
  • Have lots of energy and optimism
  • Able to show resilience and challenge  where needed
  • Be able to use own initiative, balance priorities and organise an effective work schedule in order to meet multiple needs
  • Have a good sense of humour and the ability to remain calm under pressure
  • Be reactive and proactive to deal with the different channels
  • Have an understanding and experience of safeguarding requirements
  • Strong ICT skills,  including, Word, Excel, Powerpoint, experience of using Arbor would be beneficial
