About this Role

Working closely with the Headteacher, Governing Body, and external support services, the postholder will ensure that resources are managed efficiently, systems are robust and compliant, and the school operates effectively on a day-to-day basis.

The role requires both attention to detail and strategic awareness—someone who can confidently manage processes while contributing to informed decision-making.


Key Responsibilities

Finance Management

  • Lead the school’s financial operations, ensuring compliance with local authority regulations and best practice
  • Maintain accurate, auditable financial records and oversee income, expenditure, and reconciliations
  • Manage purchasing, procurement, and contracts to secure value for money
  • Supervise and support finance support staff

Budget Planning & Monitoring

  • Support budget setting in partnership with the Headteacher, governors, and financial services
  • Monitor performance against budget, providing clear forecasts and variance analysis
  • Contribute to longer-term financial planning and benchmarking

Compliance & Assurance

  • Ensure timely completion of all financial returns, including SFVS and local authority submissions
  • Maintain strong internal controls and support audit processes
  • Implement guidance from financial support services and remain up to date with regulatory changes

Human Resources Administration

  • Lead HR administrative processes in line with employment legislation and school policies
  • Oversee recruitment administration, ensuring full compliance with safer recruitment requirements
  • Maintain accurate personnel records, contracts, and the Single Central Record
  • Manage absence monitoring processes and liaise with payroll providers

Office Leadership & Administration

  • Lead the school office, ensuring efficient, professional administrative systems
  • Line manage administrative staff, supporting performance and development
  • Oversee pupil data, census returns, and statutory reporting requirements
  • Act as a key operational contact for staff, families, governors, and external agencies

Estates & Facilities Oversight

  • Oversee the safe, compliant, and effective management of the school site
  • Coordinate maintenance, statutory checks, and health & safety requirements
  • Work with external providers and services to maintain high standards
  • Support premises planning and development priorities

Governance & Strategic Support

  • Provide clear financial and operational reports to senior leaders and governors
  • Support the work of governing body committees, including finance and premises
  • Contribute to strategic planning, particularly in relation to resource management

Safeguarding, Compliance & General Duties

  • Ensure systems and processes support safeguarding and data protection requirements
  • Promote high standards of compliance, professionalism, and confidentiality
  • Contribute to the wider life and ethos of the school
  • Undertake duties commensurate with the role
