Knutsford Primary Academy is seeking an enthusiastic Office Manager to oversee the daily operations of our bustling school office. Experience of working in a busy school office would be preferred, however, for the right candidate we will consider an experienced administrator and training will be provided.

Knutsford Primary Academy is a vibrant 2 form entry primary school, located in Watford. The school's vision is to create an environment where every child can thrive, discover their unique potential, and develop a thirst for learning, knowledge and personal development. Learners are set ambitious goals and expectations on behaviour is high. 

The role of the Office Manager is paramount, to the smooth functioning of the school office, to lead and manage the administrative systems ensuring the most effective use of resources to support the school Principal, staff, parents and pupils. You will line manage the administrative staff that work within the school office.

The main duties are:

  • Ensure that all that come into contact with the school office have a welcoming and positive experience, such as visitors, parents, staff and pupils. The office is the first point of contact.
  • Oversee distribution of office tasks to the office staff to ensure all duties are covered and carried out to a high standard. Lead and guide the office staff, overseeing their work, delegated tasks and fostering a positive team environment.
  • Support the school Principal and Leadership Team with the smooth running of the school.
  • Maintain accurate pupil and staff records, attendance data, and other administrative records in compliance with regulatory requirements.
  • Conduct on boarding for all new staff, maintain the Single Central Record.
  • Responsibility for inputting school payroll changes monthly to external provider on SAP portal.
  • Manage the schools lettings and look for ways to increase revenue through additional hirings, grants and initiatives.
  • Maintain and update the school website ensuring compliance and creating an inviting and informative space for current and prospective parents and staff.
  • Oversee the input of purchase orders onto the Trust finance system, tying up invoices and delivery notes and submission to Central Finance Team for payment.
  • Be the day to day contact for the Site Manager and the Central Premises Team.
  • Be the first point of contact for staff with any pay or contract queries.
