About the Role

Heworth Grange School is seeking a dedicated and organised Administration Assistant to join our busy and friendly school office. This is an exciting opportunity to become part of a supportive and ambitious team and play a key role in the day-to-day running of the school.

The successful candidate will provide clerical and administrative support across the academy and assist with student services, helping to ensure the smooth and efficient operation of the school office.

Main Duties

Key responsibilities will include:

  • Answering incoming calls and handling enquiries from staff, students and parents
  • Welcoming visitors and ensuring safeguarding sign-in procedures are followed
  • Providing first aid support (training can be provided)
  • Word processing school documents and maintaining manual and computerised records
  • Managing incoming and outgoing mail
  • Assisting with school trip administration, including booking transport and venues
  • Supporting attendance administration and maintaining student records
  • Logging accident/incident forms
  • Assisting with school uniform stock and sales
  • General office duties including photocopying, filing and reception cover
  • Supporting student supervision when required
  • Ensuring first aid supplies are fully stocked

What We Are Looking For

We are looking for someone who:

  • Has excellent communication and interpersonal skills
  • Has strong organisational and time management skills
  • Can work calmly under pressure and manage multiple tasks
  • Is confident using ICT systems such as email, spreadsheets and databases
  • Has previous administrative or secretarial experience
  • Enjoys working in a school environment and with young people
  • Understands the importance of confidentiality and safeguarding
  • Can work both independently and as part of a team

A First Aid qualification is desirable, but training will be provided if necessary.
