Job purpose
To provide onsite generalist HR
support to the school in partnership with the HR National Team. To be
responsible for the administration and smooth running of the HR function
within The Deepings School. The HR Officer will act in full harmony with
the culture of The Deepings School and needs to exemplify the
school’s ethos, ensuring the wellbeing and safeguarding of students and staff
at all times through the implementation of strong and supportive Human
Resources processes.
Duties & Responsibilities
Recruitment:
- Manage all recruitment of school staff -
teaching and non-teaching, volunteers as well as supporting work
experience placements.
- Advise on content of and arrange
placement of advertisements for staff vacancies ensuring these are
advertised internally and on the school website and are compliant with
legislation and school ethos.
- Liaise with recruitment agencies where
appropriate and manage the contractual relationship with these.
- Advise and assist with the preparation of
job descriptions and person specifications and full application packs.
- Deliver candidate management to include
appropriate and timely responses to all candidates to inform them of the
status of their application and the outcome.
- Carry out appropriate clearance checks
and produce contractual documentation for successful candidates compliant
with legislation and school ethos.
Absence Management:
- To provide advice and guidance to
individuals and their managers in relation to the school’s absence
policies and procedures.
- To accurately record and monitor staff
absence and to provide reports as required for use by members of the
Senior Leadership Team.
- To support with Payroll processing and
monthly variations.
- To support line managers in conducting
return to work interviews.
- To organise occupational health
assessments when required.
Induction, Learning and
Development:
- To arrange induction briefings for new
staff.
- Ensure all probation meetings are carried
out
- Provide an induction package for all new
staff to the line manager.
- Manage and monitor mandatory training
including child protection training, H&S, fire and first aid training
and to maintain records of these.
- Advise on staff training solutions as
required.
- Maintain Staff Training Records.
- Run the Professional Development Review
process and monitor compliance and training outputs.
Contractual Administration:
- To prepare offer letters and contracts of
employment for all staff.
- · To
prepare contracts for services where appropriate for self-employed third
parties.
- To prepare all letters relating to
changes to terms and conditions e.g. changes to hours, salary, job role,
working arrangements etc.
- To prepare staff annual salary review
letters
- To work closely with the Finance Team to
produce the necessary paperwork in relation to maternity and paternity
leave.
HR Systems:
- · To
maintain the school’s current HR system and Information Management system
in order to record and extrapolate accurate HR data.
- To run monthly
reports for various departments within school.
- Ensure that
all leave is appropriate recorded and monitored
- Complete the
School Workforce Census
Single Central Record:
- To support in
the maintenance of the school’s Single Central Register (in line
with current regulations; this also involves ensuring that our Safer
Recruitment Policy and other documentation relevant to HR/staffing matters
are up-to-date and followed).
- To ensure that all visitors, contractors,
volunteers and agency staff are appropriately check and recorded in line
with current guidance.
- Ensure staff files are up to date and
match the SCR
Employee Relations:
- To support the Head and Senior Leadership
Team in any disciplinary, capability cases, and any other casework that
arises.
- Support all staff and volunteers and ‘go
the extra mile’ to care for and enhance their well-being.
- Maintain staff records (both electronic
and hard copy) with appropriate security access.
- Monitor staff probation periods.
- Advise the Head, and others as
appropriate, on HR matters/help liaise with external professionals.
- Ensure CPD in order to maintain knowledge
and professional expertise.
- Administer all general employment matters
including maternity/parental leave and absence.
- Develop and implement new and revised HR
policies.
- Ensure School staff lists and appropriate
storage areas are current and available for use.
Payroll:
- When asked to do so,
maintain a pay structure by conducting periodic salary surveys, conducting
job evaluations, proposing individual pay actions, planning and
implementing pay structure revisions within school budgets.
- Assist with the monthly payroll and
annual salary review process as necessary, and prepare letters for the
staff about their salaries each year.
General:
- Support the HR National Team with any new
HR initiatives and project work as required
- Support with other administrative duties
as required and instructed by the Head
