About this Role

We are seeking to appoint a Senior School Administrator who will be part of the Reception and Reprographics team. They will not only be the first point of contact for prospective families and visitors of the College, creating a vital first impression, but also responsible for the general administrative duties required in the Reception area and carrying our Reprographics tasks, such as printing, booklet making, laminating, and postage. 

Key Responsibilities:

Reception:

  • Greeting  College visitors, signing them in and issuing/collecting visitor badges.
  • Ensuring all visitors are met in Reception by a staff member and are always escorted around the campus.
  • Answering and forwarding incoming telephone calls and email. Handling general enquiries with a positive and professional manner.
  • Maintaining the Visitors' Waiting Room, ensuring it is clean and tidy, newspapers are laid out each day, Hurst reference booklets and calendars are updated and that hot and cold refreshments are fully stocked and available at all times.
  • Updating House registers using iSams and ensuring pupil absences are accounted for. 
  • Contacting parents/guardians when required.
  • Monitoring lost property.
  • Booking taxis for staff, pupils and visitors. 
  • Taking, editing and distributing minutes for Departmental meetings, as required.
  • Acting as a central point of contact for College Open Days, events and courses.
  • Assisting other Departments, including Porterage, with overflow tasks such as distributing internal post and stationary supplies, setting out exams papers, replenishing  marketing gift bags, helping with Foundation OJ events and the Summer Ball.

Reprographics:

  • Producing high quality notices, signs, posters, programmes and booklets for Teaching and Support staff.
  • Creating booklets and folders to include binding, hole-punching and laminating.
  • fulfilling bulk mailing requests for parents/guardians, using the franking machine and arranging postage requirements.
  • Troubleshooting errors and addressing basic issues to ensure that the College photocopiers remain operational.
  • Liaising with the Kyocera service department (photocopier suppliers) to ensure appropriate and timely maintenance and repairs of the Reprographics machinery.
  • Assisting with maintaining and managing all associated stock such as toners.
  • Assisting with the ordering of office and classroom stationary and other consumables.

Hours: 40 hours per week - 8:00am-5:00pm or 9:00am-6:00pm on a flexible rotation, Monday to Friday term time only (34 weeks) plus 9 weeks. Very occasional Saturday cover working may be required on Reception (term time only, 9:00am-2:00pm).
