About this Role

Are you the welcoming face and organised force we are looking for?

At Haydon Abbey School and Pre-School, we believe that a warm welcome and a smoothly run office are at the heart of a thriving learning community. We are seeking a professional, proactive, and enthusiastic Office Administrator to join our dedicated team.

In this vital role, you won't just manage paperwork—you will be a champion of our school ethos, ensuring parents, visitors, and pupils always experience a friendly, safe, and professional environment.

With convenient school-friendly hours (8:00am to 2:30pm), this is the perfect opportunity for an organised professional looking to make a meaningful impact in education.

Key Responsibilities

Working with minimal supervision, you will use your initiative to manage the school reception and provide essential administrative support to our Senior Leadership Team (SLT) and Site Teams.

  • The Face of our School: Manage the School Reception, answer calls, handle parent communications via Teachers2Parents, and warmly welcome visitors.
  • Pupil & Staff Attendance: Take ownership of daily attendance registers, manage "first-day calling" by 10:00am, track staff absence in line with school policies, and update payroll.
  • Data & Admin Mastery: Maintain and update pupil records on SIMS, manage medical paperwork, draft school correspondence, and handle daily incoming/outgoing mail.
  • Championing Safeguarding: Act as a gatekeeper for school safety by checking visitor IDs/DBS status, and utilising the Inventry sign-in system.
  • Shaping the Future: Work collaboratively with the Headteacher and SLT to support the school’s vision, values, and long-term development.

What We Are Looking For

  • A Professional Demeanour: Someone who demonstrates high standards of personal integrity, loyalty, discretion, and professionalism.
  • An Excellent Communicator: Exceptional grammar and spelling skills, with the ability to form constructive relationships with staff, governors, parents, and pupils.
  • Tech-Savvy Skills: Experience with or a willingness to be trained on SIMS, Inventry, and Teachers2Parents.
  • An Initiative-Taker: A proactive individual capable of working independently, managing a busy workload, and adapting to the evolving needs of the school.
  • Commitment to Care: A dedicated professional who will strictly adhere to Safeguarding, GDPR, and Health & Safety regulations.

Why Join Haydon Abbey School?

By joining our team, you become part of a dynamic learning community that empowers both its staff and pupils to achieve and excel. We offer a supportive working environment, opportunities for professional development and training, and the chance to be part of a team dedicated to continuous school improvement.

Safeguarding Statement: > Haydon Abbey School and Pre-School are committed to safeguarding and promoting the welfare of children and young people. We expect all staff to share this commitment. The successful candidate will be subject to an enhanced DBS check and satisfactory references.
